This AI Policy describes how HRMXGO Inc. uses AI in the HRMXGO AI Platform, LockDocOS.
1. Compliance with Laws. HRMXGO complies with AI Regulations applicable to its provision of the Platform, including US state AI laws (Colorado AI Act), Canadian AI and privacy law, and monitors EU AI Act.
2. AI Literacy and Responsible Use. Persons operating AI Systems for the Platform receive AI literacy training appropriate to their role. HRMXGO maintains internal AI Use Policy governing risks, prohibited uses and requirements.
3. Data Sources. HRMXGO does not train models on Customer Data. HRMXGO obtains necessary rights for any datasets, prompts or evaluation materials used in the Platform.
4. Technical and Organizational Measures.
- Internal policies governing approved providers
- No training on Customer Data, zero data retention configurations recorded in vendor record
- Testing for accuracy, reliability and suitability of document extraction
- Change management: no change that would make ToS/DPA/data-security untrue without updating those documents first
- Encryption in transit/at rest, US-only processing per DPA 12.1
5. Transparency. Output is labeled as AI-generated in the interface and exports where applicable. Extracted fields/clauses are probabilistic and must be reviewed. HRMXGO provides procedures to assist customers in informing natural persons that they are interacting with AI-generated content.
6. No Training + Zero Retention. Third Party LLMs do not retain or train on Customer Data beyond transient processing. Current retention and location positions: https://lockdocos.com/legal/data-security
7. Updates. This policy may be updated to reflect changes in technology or regulation.
